Key Responsibilities:
Executive Support
- Act as the primary point of contact for the CEO, managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare reports, presentations, and correspondence on behalf of the executive team.
- Organize and prioritize tasks to ensure the efficient flow of work and communication.
Administrative Responsibilities
- Manage office operations, including maintaining records, organizing files, and overseeing supplies.
- Handle incoming communications such as emails and phone calls, and respond on behalf of the company when required.
- Coordinate with internal and external stakeholders for meetings, events, and project updates.
- Oversee data entry, record-keeping, and ensure accurate documentation of company files.
- Assist with payroll inquiries and ensure confidentiality regarding salary-related matters.
Manage official client communications and documents
- including but not limited to invoices, contracts, and other formal documents, ensuring they are properly filed, tracked, and shared as needed.
- Ensure timely processing and distribution of invoices and contracts to clients, maintaining consistency and compliance with company policies.
- Support the preparation of proposals, reports, and presentations for client and internal meetings.
Team Support
- Provide general administrative support to the team, such as booking appointments and organizing events.
- Act as a liaison between executives, staff, and clients to facilitate communication and deliverables.
Company Online Presence
- Oversee and manage the company’s online presence, including maintaining and updating the company’s LinkedIn profile, website, and other social media platforms.
- Ensure that the company’s online content is up to date, consistent with the company’s values, and engaging for both clients and potential partners.
- Collaborate with the marketing team to develop and implement strategies for enhancing the company’s visibility and brand presence online.
- Monitor online interactions, respond to inquiries, and maintain a positive and professional digital image of the company.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field is a plus.
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Excellent verbal and written communication skills in English and French .
- Strong organizational and multitasking abilities with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools (e.g., Trello, Asana).
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Strong problem-solving skills and a proactive approach to challenges.
- Flexibility to adapt to changing priorities and deadlines.
